How does it work?
Monthly or 4 weekly payruns
You advise us each month about any changes, starters, leavers, bonuses etc. and as soon as your payroll is processed we send you the summaries by e-mail and the security payslips are sent out by first class post. Please remember that payment by some methods may take up to four working days to reach your staff’s accounts.
Weekly or fortnightly payruns
For weekly or fortnightly payrolls, we normally expect the previous week’s hours/advice to be with us by mid-day on Monday or Tuesday. As soon as your payroll is processed we send you the summaries by e-mail and the security payslips are sent out by first class post.
Normally any payrun information received in the morning Monday to Thursday will be dealt with that afternoon if possible. Information received in the afternoon will be processed the following working day unless especially agreed.
Registration with HMRC
If you are already registered with HMRC for PAYE and NI, we will ask you to sign a FBI-2 form which allows us to receive Tax Code changes and other HMRC notices, and also to file your year-end declaration on-line. It gives us no authority whatsoever over your Tax or NI affairs.
If you are not already registered with HMRC for PAYE and NI, with your permission we will register you. This is free of charge. We email all payslips to you in a .pdf format for you to give or to email on to your employees.
We use specialized payroll software which has twice won the payroll category in independent surveys by the ICAEW.
All e-mails are covered by the top AVG security systems.
Daily back-ups are held off the premises.
We shred all necessary documents.
Payments to employees
We create a link file for your online banking software. We then e-mail you the payrun which you then import into your system.
Autopay, Payflow, Hexagon and Telepay
We send you the relevant bank autopayment lists that you then fax or e-mail to your bank after adding your passwords.
Cheques or cash
We provide you with a cheque list.
Auto-enrolment of Pensions
All employers in the UK will be affected by the introduction of auto-enrolment and the need to enrol their employees into a qualifying Pension. The effect of auto-enrolment will have a significant cost and impact on businesses throughout the UK.
The following points provide a brief summary of an employer’s obligations.
Since October 2012 any UK employer who employs at least one person, must:-
- Organise a pension scheme suitable for automatic enrolment
- Automatically enrol certain workers (known as eligible job-holders) into that scheme
- Make contributions
- Manage the automatic enrolment, joining and opt out processes
- Provide specific information to workers, pension scheme providers and The Pensions Regulator TPR)
- Keep records
The Pensions Regulator is responsible for ensuring that employers meet their obligations and will sanction substantial fines for non-compliance.
We can organise an accountancy client to do this for you. There is an extra charge for this service.
